The University of Maryland uses a combination of SAP Concur for travel expense reporting, and Collegiate Travel Planners (CTP) for travel booking. Travel arrangements, including pre-approvals, flight and rail booking and group travel arrangements are made through Concur. Campus departments are required to use Concur Travel or CTP for all air and rail, regardless of use of Tcard or personal credit card. To keep processes clean, it keeps users from using any third party travel providers like Expedia. Electronic booking using Concur is the first option for booking both domestic and non-complex international flights. 

Lodging is a little more permissive, especially if faculty are traveling to an event or conference where a discounted hotel rate applies. Users may need to book hotels through the conference site to ensure application of group discounts. If rates seem unreasonable in any scenario, CTP can actually assist users to identify appropriate lodging arrangements. When staff travel, they easily take pictures of receipts and upload them into Concur mobile app, so expense reports are usually completed by the time users get home. This greatly simplifies processes.

Before travelers travel, pre-approvals are required for all University of Maryland employees. Users must submit approval requests in Concur before any bookings take place. Like expense reports, approvals can even be done in the SAP Concur mobile application. On the SAP Concur app, called Concur Mobile, users can view itineraries, book flights or Amtrak, upload receipts, create expense reports, and even move expenses to other expense reports.

CTP is the University of Maryland designated travel management company, which compliments Concur, the expense, approvals and reporting partner. CTP is an established partner with Concur and assists travelers with bookings, and can be especially helpful with complex international travel and arrangements for group travel and large events.

The Most Critical Element of a Modern Travel Risk Management Program in Higher Education

Student, faculty and staff travel is on the rise, both domestically and internationally. Administration has its hands full in protecting travelers from health and security risk, and dealing with duty of care expectations. Data is critical.
